Overview
For a RingCentral call queue, “send missed calls to our answering service” is an incomplete requirement. Identify which condition should trigger the handoff: a full queue, an expired waiting limit, or members who do not answer. This guide addresses queue behavior rather than the user-extension schedule covered in our separate RingCentral guide.
Specify a destination for each condition
RingCentral’s call-queue documentation describes separate actions for a full queue, maximum wait expiration, and no answer. Each can use external-number forwarding. The no-answer setting can instead continue waiting for primary members or include members from a selected overflow queue. Those member-based options are different from forwarding to an external answering destination.
Ask your administrator to show all three configured outcomes. Record the chosen action and destination for each; a successful test of one does not establish the other two. Confirm the destination number and receiving hours with your proposed answering provider.
Separate the waiting limit from member ringing
The documentation distinguishes queue capacity, maximum waiting time, member ring timing, and after-call wrap-up time. It also notes that the member timeout setting is ignored for simultaneous ringing. Do not treat a member ring interval as the total time a caller may remain in the queue.
Agree on the business requirement first: how long a caller may wait and what should happen next. Have the administrator compare that requirement with the active queue configuration rather than borrowing another office’s settings.
Test the conditions independently
Use an administrator-approved test queue and controlled destinations. Do not fill a production queue to manufacture a test. Record the dialed number, trigger, expected recipient, elapsed wait, and actual outcome.
- Capacity reached: demonstrate where an additional call goes when the configured queue limit is met.
- Wait expired: keep a test caller waiting until the configured limit and verify the destination.
- Members do not answer: demonstrate whether the call keeps waiting, includes another queue’s members, or leaves for the specified fallback.
- Destination unavailable: verify the agreed final outcome and confirm that the route does not return repeatedly to the same unanswered queue.
Accept the service handoff separately
After verifying delivery, ask the answering provider to demonstrate the greeting, approved intake, and message destination using test information. Record any unsupported requirement before activation.
