Overview

Before confirming an appointment, name the date, time, and time zone the caller is agreeing to. An answering agent viewing a booking page should check its selected zone rather than assume the displayed time matches the caller’s location.

Check the booking page before reading availability

Calendly says invitees see availability in their detected local time and can choose another zone on the scheduling page. For assisted booking, the practical check is the zone shown in the agent’s session. Ask which location or time zone the caller means, then read back the selected date and time with that zone.

Separate in-person and remote appointments

Calendly recommends locking an in-person event to the event location’s time zone. Ask the event owner whether that setting fits the appointment before changing it. For a remote appointment, agree on the caller-facing time and check the resulting calendar entry; do not reuse an office-location assumption without checking.

Test the appointment date across a clock change

Calendly documents automatic daylight-saving adjustments. Have the event owner test a future appointment on each side of a relevant clock change, checking the booking page, confirmation, and calendar entry. Record the actual dates and selected zones. Do not insert a fixed hour difference into the call script and assume it remains correct for future appointments.

Resolve a mismatch before calling the booking final

  • Record the event link, appointment date, and selected display zone.
  • Compare the confirmation with the caller’s agreed date and time.
  • If they disagree, send the discrepancy to the booking owner instead of making a second appointment as a workaround.
  • Agree on who contacts the caller after the booking owner verifies or corrects the appointment.
