Check the booking page's distribution rules before promising a caller a time with a particular team member. A person can have free calendar time without being offered through the selected team event. Confirm both the appointment time and assigned host in the resulting booking.

Choose the team's scheduling priority

Calendly documents two Round Robin approaches: maximizing availability and optimizing equal distribution. The latter can hide an otherwise free host's times to balance meeting counts. The availability approach uses host priorities when several people are free.

Have the event owner state which objective the business wants. A caller asking for any available appointment has a different requirement from a caller who needs a particular staff member. Give the answering team an approved route for each request instead of treating all booking links as interchangeable.

Investigate a missing time before offering an override

Record the event link, requested time, and expected host when a time does not appear. Ask the event owner to check the active distribution setting alongside calendar availability. Do not promise a slot solely because an employee says their calendar is open.

Use an approved test event to compare the caller-facing choices with the owner's configuration. Keep a record of the setting and observed host assignment. These are suggested checks, not evidence of actual customer bookings or an AnSer Calendly integration.

Confirm who owns a rescheduled meeting

Calendly states that rescheduled Round Robin meetings reassign according to distribution rules by default, with an option to retain the original hosts. Adding or removing a host also resets the group's meeting counts.

Agree whether continuity with the original person matters for this appointment type. After rescheduling, inspect the resulting host and make sure the business handoff reaches that person. Avoid telling the caller that the original employee will attend until the booking confirms it.

Give the answering team a clear booking boundary

Name the person who handles unresolved scheduling questions. The answering team should be able to record a request for that owner without inventing availability, overriding distribution rules, or treating a failed booking as confirmed.

  • Booking link: identify the approved team event and which caller requests it serves.
  • Requested person: document the alternative when the caller needs a named staff member instead of an available team member.
  • Confirmation: verify the booked date, time, time zone, and host before describing the appointment as final.
  • Reschedule: confirm whether the host changed and who receives the updated request details.
  • Configuration change: repeat the relevant checks after the owner changes host membership or distribution rules.
