Overview
For a business using a Google Voice auto attendant, an after-hours announcement and the action that follows it need to agree. If the intended outcome is a live answering destination, check the transfer action as well as the greeting. This guide covers the managed Workspace auto attendant, not personal Google Voice forwarding.
Check the edition and the number’s owner
Google documents this feature for Voice Standard and Premier with the Google Voice Admin role. The attendant needs an assigned Voice number that is not already assigned to a user.
Have the administrator trace the number customers actually dial before editing a menu. A configured attendant that owns a different number will not change the caller’s current route. Record any required reassignment and its approval as a separate change.
Define what follows the after-hours announcement
Google’s after-hours actions include disconnection, voicemail, and transfer to a user, ring group, attendant, or phone number. The default continuous-hours setting uses standard handling rather than after-hours options; customized hours enable the separate after-hours behavior.
Write an announcement that matches the selected action. A message promising a connection should not be followed by disconnection. Obtain the correct external receiving number and confirm the answering team’s intended scope before using it as the destination.
Preview, publish, and verify number assignment
Google separates Preview from Publish. Publishing adds the attendant or replaces its previous version; number assignment is also required for callers to reach it.
Use the preview to inspect the menu and announcement, then have the authorized administrator confirm the intended version and number assignment during a controlled change window. A preview is useful evidence about the configuration, but it does not prove an outside caller is reaching that version on the advertised number.
Exercise the caller’s complete path
- Call the public number from outside the organization during a permitted test and record the active schedule and destination.
- Verify the regular-hours menu still performs its intended job.
- Test an after-hours or holiday path and confirm the receiving greeting agrees with the announcement.
- Check the reopening route and preserve the previous configuration until the change is accepted.
- Validate message delivery and any return transfer separately. This routing setup does not prove a calendar or customer-system integration.
