Overview
A time offered on a booking page is useful only if the schedule checks the commitments your business needs protected. Before an answering team uses a Google appointment schedule, ask the calendar owner to show which calendars are checked and test the result from the booking page.
Confirm the calendars included in the check
Google requires an eligible Workspace or Google One plan to check secondary calendars. In the appointment schedule editor, the Calendars setting selects the calendars reviewed for conflicts. Google also notes that schedules created on a shared calendar may not allow selection of other calendars.
List the commitments that must block appointments, then identify where each is recorded. Do not assume that a calendar visible to an employee is automatically included in the booking schedule’s availability check. Have the owner verify the actual selection.
Test a busy commitment and a full-day closure
Google documents that busy events in checked calendars block appointment availability, including all-day busy events. If availability checking is turned off, a busy commitment can still leave that time offered; an appointment time itself can still only be booked once.
Use an approved test schedule to place a busy commitment during an otherwise available slot. Check the public booking view, then test an all-day busy closure. Record which calendar contains each test and the expected result before making changes to customer-facing availability.
Investigate missing times without weakening the rules
Google identifies the scheduling window and maximum daily bookings as other reasons times may be unavailable. Review those settings before assuming a conflict-checking failure.
Google also provides buffer time between appointments under Booked appointment settings. Ask the schedule owner to check that setting when an otherwise free interval is missing from the booking page. In a controlled test, compare availability before and after an appointment while retaining the business's agreed buffer.
Write down whether the problem is a time incorrectly offered or a time unexpectedly hidden. Ask the schedule owner to explain the controlling setting. Do not switch off conflict checking merely to make a desired slot appear; confirm which commitments the business would then stop protecting.
Give the answering team a verified booking boundary
- Confirm the correct booking page, appointment type, duration, and time zone before handing the link to the team.
- Record who can change calendar selections and who handles an availability dispute.
- When the requested time is unavailable, use the approved alternative or record a request for review rather than promise an override.
- Repeat the availability checks when calendars, schedule ownership, or office closure rules change.
